Sending a kid to study in the Netherlands comes with its own document checklist — apostilled birth certificate, residence-permit application, visa-grade insurance, proof-of-funds wire, university acceptance, lease, vaccine record. It starts months before the flight and wraps a few weeks after she lands. The paperwork year is real, but it's also doable.

The pouch that holds it all.
Starting here because the pouch was the first thing that made the paperwork feel manageable. Before: three folders, two manila envelopes, a pile. The apostille — the document about the document.
An apostille is the international authentication that confirms your American document is the real deal. The Netherlands requires it for the birth certificate (and sometimes the diploma) before processing the residence permit. The old way: drive to the secretary of state, queue, drive back. The travel insurance question — which is actually two.
Dutch residence applications often require travel medical insurance meeting a Schengen-area minimum coverage (usually €30,000) for the gap between arrival and Dutch national health coverage. We bought Emma's policy through AXA Schengen — a short-term plan designed exactly for this, online in fifteen minutes, accepted by every Dutch consulate I'm aware of.
The other strong choice is HanseMerkur Reise — a well-known German travel-and-student insurer accepted across European universities. If your kid's program has German-language admin or partner ties across the EU, HanseMerkur is sometimes the smoother fit. Get a quote from both, match the consulate's wording exactly, pick the one that gets her through the door.
The money side of the paperwork.
This is the second piece I wish someone had handed me at the start of the year. Wise wires euros at the real mid-market rate, with a small visible fee and no mystery markup. Application fees, tuition deposit, damage deposit, residence-permit processing fee — all cleared through Wise without surprise. Compared to my U.S. bank's $45-per-wire-plus-hidden-margin pricing, the year-over-year math is silly. Switch.
The print-twice rule.
One quick practical: every official document, print twice. Originals travel with the kid in the pouch. Certified copies stay in your home file. The full checklist — birth certificate (apostilled), diploma (apostilled if required), passport, vaccine record, acceptance letter, proof of funds, lease, insurance certificate, application receipt, residence-permit card. Tape it inside a notebook. Tick as you go.
And then we got it done.
The week the residence-permit card landed in Maastricht, Emma sent me a photo of it sitting on top of the pouch. No caption, just the picture. I texted back a heart and a champagne emoji. We made it. That's the year.
